🤖 Send an automatic e-mail requesting justification
If one of your learners is absent, you can activate an option to invite him or her to send a justification. This request will be automatically e-mailed to the learner on the evening of the absence at 8.10pm French time.
To do this, go to your Settings, click on the Learners sub-tab in the Training Organization menu, then activate the Allow absence justification requests option.
You can also customize the e-mail sent from the Emails tab of your Settings. 😮
🔍 Track / Filter requests
Track your absence justification requests from the Learners tab > Absence Justification submenu.
You can also filter requests according to :
Status: Request in progress/Rejected/Accepted
📄 Retrieve a justification document
To verify or validate a justification request, you may need to check the document supplied with the request.
There are several ways to do this:
From Learner > Justification of absence > Click on the "Download receipt" button
Or hover over the options button, and you'll also be able to "Download receipt".
You can also find the requests linked to a learner from Learner > The learner in question > Justified absences tab.
A final method is to click on Justified absence directly on the attendance sheet and download the document from the window that will then open.

Do you need to revise or correct some of the information on the request? No problem, you can modify the request.
Delete a request
Is the absence request incorrect, or do you need to resolve duplicate requests? Delete the ones you don't need 😉
❓Frequently asked questions❓
🪄 Will sheets be automatically modified?
Any sheet that is not archived will be automatically modified and the learner will be marked "Absence justified" on it when the receipt is accepted.
The instructor will also see the information appear on the sheets concerned.
❌ What happens if I refuse the receipt?
The learner will be notified by e-mail and can make a new request if necessary. You can explain the reason for the refusal in this e-mail via the window displayed.
You can always find the document for a refused justification in Justified absences in the learner file.
💫 How to bypass the "an absence already exists on the selected dates" error message.
This message appears when a justified absence already exists on one or all of the duration of the absence justification request.
For example, if an absence is requested from 2pm to 6pm on the same day, if a justification is already loaded for an absence from 1pm to 3pm. In this case, absences are superimposed. Overlapping is a source of conflict. One of the two justified absences must therefore be corrected.
There are two possible solutions:
Modify the dates/times of the existing justified absence in the period.
Modify the dates/times of the new absence justification request received.
Don't know which dates overlap? You can go to the learner's profile to view their absences, under the Absences tab.
✔️ How can I check that the justification has been taken into account?
Go to the learner's profile, then to Justified absences or Absences.
👨🏫 Can the instructor see justified absences?
The absences will be noted on the attendance sheet and visible to the instructor once the justification has been validated by the administrator. The reason will appear below the learner's name.
